Low-friction first step

Start with the claims already taking up your time.

If you have denied, short-paid, backlogged or unresolved OEM warranty claims, start with 3–5 representative files. We review the paperwork first, before you change a workflow or hand over a larger queue.

Keep your current dealer workflow.

No login handoff and no new system to learn. The first review answers a practical question: what is missing, what can be prepared cleanly, and what needs your team before the claim can move forward.

How it works

A simple handoff your service team will recognize.

The dealership remains the source of technical truth. We prepare the administrative claim package around the facts your technicians and service team provide.

01
Send the Repair Order and support files
Repair Order number, technician notes, model/serial, parts, labor, dates, photos and the relevant current OEM materials your dealership is authorized to provide.
02
We check what is there — and what is missing
Required facts, evidence, filing dates and internal consistency are checked. If something is missing, your team gets one precise request for what is needed.
03
We prepare the claim for entry
Claim story, field-by-field entry sheet, supported code/labor mapping, evidence index and exception notes are organized so your team is not rebuilding the file at the portal.
04
Your team reviews and submits
Your dealership keeps the OEM login, final review and Submit action. We do not ask for portal credentials in the launch workflow.
What you receive

Prepared for the person who has to enter the claim.

The deliverable follows the work your warranty staff actually has to do: enter the claim fields, verify the evidence and submit. It is not a generic consulting report.

Field-by-Field Claim Sheet

  • Repair Order / equipment identifiers
  • Complaint / cause / correction narrative
  • Claim type and code mapping where supported
  • Labor / parts / causal-part fields
  • Deadline and missing-item flags

Evidence & QA Pack

  • Technician notes and source facts indexed
  • Photo / document evidence checklist
  • Rule-source references used for preparation
  • Conflicts and exceptions clearly flagged
  • READY / MISSING / EXCEPTION status
Important: we do not invent technical facts, diagnose the machine, guarantee OEM approval, or override the dealership’s judgment. If the source file is not ready, the claim is not marked ready.
Trust & control

Your account stays yours.

The launch operating model is intentionally conservative: preparation is outsourced; OEM credentials and the final submission remain with the dealership.

No shared OEM password

We do not need your portal password to prepare the claim package.

No system change to start

Keep your existing dealer systems and warranty workflow. The service starts with the files you already use.

Dealer final submission

You retain final review, portal access and the final Submit action.

Dealer data separated

Claim files and dealer-specific parameters are kept in client-specific workspaces.

Technical facts stay with you

We work from your technicians' and service team's documented facts.

OEM decides coverage

Coverage, reimbursement and final claim disposition remain OEM decisions.

Questions

Straight answers before you send a claim.

Do you need our OEM portal password?

No. The initial service is claim preparation only. Your dealership keeps the OEM login and performs the final submission.

What should we send first?

For an initial review, send 3–5 representative unresolved claims with the Repair Order, technician documentation, OEM response or denial reason, supporting evidence, and any current OEM material needed to interpret those claims that your dealership is authorized to share.

What if a claim is incomplete?

It is marked MISSING rather than forced through. We identify exactly what is absent and resume preparation when the dealership supplies it.

Do you guarantee payment?

No. We prepare the administrative claim package from dealer-provided facts and authorized materials. The OEM controls coverage, approval and reimbursement.

Are you affiliated with an OEM?

No. Dealer Warranty Desk is an independent claim-preparation service. Manufacturer coverage, approval and reimbursement remain with the applicable OEM.

Do you publish customer results or case studies?

Not until real, verified results exist and the applicable customer has approved their use. We do not manufacture social proof.

Claim review request

Start with 3–5 problem claims.

Tell us what is stuck. We will reply with the exact files needed for a small review. Do not send OEM credentials through this form.

For live claim intake: Repair Order No. is the primary required identifier for every claim.

Your request will open in your email app so you can review it before sending.
